Job Description

The Import Coordinator is responsible for coordinating international import shipments from origin through final delivery while ensuring accurate documentation, timely customs clearance, and excellent communication with customers, carriers, customs brokers, and overseas agents.

Key Responsibilities:

  • Coordinate ocean and/or air import shipments from origin to final destination.
  • Track and monitor shipments, providing customers with timely status updates.
  • Review and process import documentation including commercial invoices, packing lists, bills of lading, arrival notices, and customs-related documents.
  • Coordinate with steamship lines, airlines, truckers, warehouses, customs brokers, and overseas agents.
  • Arrange customs clearance, container pickup, delivery appointments, and final-mile transportation.
  • Monitor vessel/flight arrivals, availability dates, free time, demurrage, detention, and storage deadlines.
  • Prepare delivery orders and shipment releases.
  • Enter and maintain accurate shipment information within the company's freight forwarding/TMS system.
  • Resolve shipment delays, documentation discrepancies, customs holds, and other transportation issues.
  • Communicate rates, shipment requirements, and delivery information with customers and vendors.
  • Process vendor invoices and assist with shipment billing and file profitability.
  • Maintain organized shipment files and ensure compliance with company procedures and U.S. import regulations.
  • Provide a high level of customer service throughout the shipment lifecycle.

Qualifications:

  • 1-3+ years of import, freight forwarding, logistics, or international transportation experience preferred.
  • Knowledge of ocean and/or air import procedures.
  • Familiarity with customs clearance and import documentation.
  • Understanding of demurrage, detention, container availability, and port/terminal operations.
  • Strong communication, organization, and problem-solving skills.
  • Ability to manage multiple shipments and deadlines simultaneously.
  • Proficiency with Microsoft Outlook, Excel, and freight forwarding/TMS software.
  • Experience working with customs brokers, steamship lines, airlines, trucking companies, and overseas agents is highly desirable.
